I would like to propose 3 things that I personally feel that need to be improved to expedite and to make current practice better.
1) Name of authors in RADIS. I am supporting the idea of having to key in all of authors name in RADIS for publication part if you are the Corresponding author which mean you know everyone in the list. However, I found that it is quite troublesome for co-author or UTM first authors to key in all authors name of the publication that they have to fill in the RADIS and some they may not have the information as they are not corresponding author and it is such a waste of time to find the info of all 10 co-authors from other entities which you never knew (except the corresponding author) for library to verify the publication. I think the proof of published paper and scopus or Wos screenshot is sufficient.
2) Regarding the appointment of Directors in UTM regardless whether it is for academic position or research center. As the director need to work with other staff, i honestly think that the staff should have a say or vote for a person that they wanted to work with. I know that for academic position voting is done by governant but not sure in RC. Hence i think if it is not, this shall be consider for the benefit of all parties in UTM.
3) The 3rd idea is on the official letter from UTM to external parties specially for invited speaker, collaborator etc which usually required by the staff. I think the current process that require PA or CC to issue the letter is troublesome both for PAs and CCs (who already have their daily duties) and to also issue the letters to the staffs (by request) could delay the overall process of getting external panels/speakers to come to UTM programs. I would suggest an online template that could be used by each PTJ to generate their own letter (the sentences etc should be standardize), except for name, programs and details should be keyed in by the PIC and support staff will only need to generate the ref number and fwd the letter to Director/dean or their superior in their respective PTJ. Ive experience such situation where i have to draft my own letter, and formatted by the clerk and have to review back the letter before pass it to Chair to sign. Hence, i believe this could be standardize specially those letter that need to be regularly issued.
