During the recent student registration and orientatiom/induction I have noticed a lot of manual work being done. Below are suggestion for future improvements:
1. All the required form to be filled out can be emailes or accessed through website and fill up online. During registration day, students can then come to put in their thumbprint for verification.
2. Any required documents can be uploaded ahead of time. This not only save time, it will also reduce usage of paper forms and queues as well optimize staff efficiency minimizing double work
3. Necessary information such as website links, powerpoint slides, registration process flow can be clearly published on the website that will allow time efficiency as well as students to absorb the general idea. This can reduce briefing time as for post graduate students, time is very strained.
4. Assistive chat on website or apps can be operated by staff with students being able to ask any questions ahead of time for clarity. Frequent FAQ can also be uploaded as well
5. As UTM is a well established institution and have been operating for a significant amount of time, there should already be established lesson learn staff can discuss post mortem after registration which can then be used to further fine tune and improve registration process. This is in line with university objective to become world class standards with intent to attract international students.
